Views are the best way to securely share your Mapline datasets and visualizations with your team.

A view is similar to a dashboard, where you can grant your team access to the information they need. Here, you have the power to hide the information they don’t need access to, protect the integrity of your original datasets, and ensure that the right people always have access to the right data.

Mapline’s sharing permissions are even more advanced than Google’s! That’s because views offer you several layers of data security that you won’t find anywhere else.

ADD VIEW

Here’s where you name your new view! The name you assign to your view will be the name that appears in your Views Library later on.

A recommended best practice is to choose a naming convention that includes the name of the person to whom the view is assigned. This way, your Views will be easy to sort through when the time comes to update them.

Next, select the dataset from which you want to pull data. If the dataset you want to use contains sensitive information, don’t worry about changing the dataset itself. In the next steps, you’ll filter out any dataset columns you don’t want to share.

Pro Tip: Are you looking to share a visualization with your team? All visualizations in Mapline rely on datasets. First, you must share the right dataset(s) with the right team member(s). Then, add the visualizations your team needs.

ADD VIEW- DATASET FILTERS

Assign filters to your view to ensure that the right information is being shared.

For example, maybe your sales team needs to make on-site visits to audit your stores. You would want them to be able to see which stores are due for an audit, and you wouldn’t want them to see any assignments that are blank.

Configure your filters just as you would with any other filter in Mapline. (If you don’t need any filters, just leave it blank. Doing so will not prevent you from hiding sensitive information later on).

When you’re finished, click the orange Next button at the bottom-right of the Add View window.

ADD VIEW- DATASET COLUMNS

Select the dataset columns you want to include in the view you’re creating. Simply uncheck the boxes you do not want to display, then click the orange Done button at the bottom-right of the Add View window.

USE YOUR VIEW

Now this dataset has been assigned to a new view! This is just the first step in setting up advanced sharing permissions for your team.

Share this view with others, create new visualizations based on the dataset(s) in this view, sort, filter this data, etc. You now have the power to get the right information into the right hands in just moments.

EDIT EXISTING VIEW

Do you need to edit an existing view? That’s easy!

From the main menu bar on your view, click Options > Edit View.

With the Update Filters window open, you now have the following options:

  • Click the blue + icon to add new filters.
  • Click the blue X at the top-right corner of a section to delete that filter.
  • Click the blue Duplicate icon underneath the blue X to duplicate a filter.
  • Toggle between the Any and All tabs at the top of the window to apply all of the specified filters, or just any filters that are applicable.
