How to Share Maps

Improve your team collaboration by sharing maps.

1. OPEN YOUR MAP
You can open your map by single clicking the name, double clicking anywhere on the row, or by single clicking on the row and clicking the “Open” button. If you don’t have a map created, click on the “Add New Items” button. Then select, “New Map” and give it a name.
2. CLICK ON THE OPTIONS MENU
Once you’ve opened your map, click on the “Options” menu in the top left corner of the screen.
3. SELECT “SHARE”
Once the “Options” menu is opened, then select the “Share” option to open the lightbox.
4. SELECT “PRIVATE SHARING” OR “PUBLIC SHARING”

Once the sharing lightbox is opened, click “Private Sharing” if you would like to share your map with other users included on the same Mapline account. In order to share privately, you must have a paid subscription with multiple users. For instructions on private sharing, skip to step 7. Click “Public Sharing” if you would like to send a shareable URL link to others. This option is available to all users.

5. MAKE YOUR MAP PUBLIC

After clicking “Public Sharing,” click “Make Public.” A warning message will appear telling you that making your map public will make it publicly accessible to anyone. This means that anyone who has the URL link to the map will be able to view the map.

If you need to make your map private again later, you can do so. Making your map private after it has been made public will make it so the URL and embed code that was previously generated will no longer work. 

6. CLICK “MAKE PUBLIC”

If you would like to make your map public, click “Make Public.” Otherwise, click “Keep Private” or “Cancel.”

7. COPY AND SEND THE URL

Once the map has been made public, a public URL will be generated. Copy this URL to your clipboard by clicking the “Copy” icon to the right of the URL. You will then be able to paste and send this URL to whoever you would like to see the map. Those with the URL will be able to open, navigate, and interact with the map by changing the zoom level, filtering pins, and toggling pins and territories on or off.

8. ENTER EMAIL ADDRESSES AND CHOOSE PRIVILEGES

Click on the field that says “Enter email addresses,” and a list of the other users on your account will appear. Click on the users that you would like to share your map with, then to the right of that box, choose whether you want your viewers to have viewing or editing privileges, and click “Share.”

9. YOUR MAP IS NOW SHARED

You can change permissions and delete users from this same share window.

A notification email will be sent to the user the map is shared with. If the notification email was never received, it could be caused by two reasons:
  • The email address is incorrect.
  • The email was sent to your colleague’s SPAM folder or the mail server blocked the message.
If this happens, check the email address you shared the map with. Also, ask your colleague to check their SPAM or JUNK folder. If neither of these prove successful, reach out to our customer success team for additional assistance.
