Workflow Actions: Update Values in Dataset

Need to keep your data up to date—without manually editing rows? The Update Values in Dataset action lets you change multiple rows at once based on custom logic. It’s perfect for batch updates, syncing status fields, or triggering data transformations after a form is submitted or a button is clicked.

This action gives you complete control over how, when, and where your data gets updated—all without lifting a finger.

SELECT YOUR ACTION

Begin by opening your workflow and clicking the blue (+) under Actions. Hover over ACTION and choose UPDATE VALUES IN DATASET.

Name your action something clear and relevant—like “Mark as Complete” or “Sync Status Fields.” This will help you stay organized, especially in workflows with multiple steps.

  • Mark a group of service requests as “Resolved”
  • Update visit statuses based on new form submissions

CHOOSE THE TARGET DATASET

Update Values In: Pick the dataset where the updates should happen. This can be the same dataset that triggered the workflow—or a completely different one. Great for cross-dataset syncing, escalation workflows, and more.

MAP YOUR UPDATES

Use the “From Source” and “To Column” pairs to define what values should be updated:

  • From Source: Choose a value from a form, variable, or column in your dataset.
  • To Column: Select the field where the new value should be saved.

Add as many value pairs as needed. This gives you the flexibility to update multiple columns at once—like changing a status, logging a new date, and assigning the update to a user.

DEFINE YOUR TARGET ROWS

Scroll down to define which rows should be updated. This can be based on:

  • Row IDs
  • Matching values (e.g., where “Customer ID” equals the current form’s “Customer ID”)
  • Advanced logic and filters using a Logic step above

This is especially useful when you want to update a single row based on a unique ID—or multiple rows that meet specific conditions.
